Privacy notice.
This notice explains how we handle personal information when you browse our website, ask for a quote, contact us on WhatsApp or become a client.
Write to info@gallusstreamlineservices.co.uk, or start a message on WhatsApp Business. For sensitive requests, tell us you need a secure contact method rather than sending identification documents in a chat.
1. Who is responsible?
Gallus Streamline Services is a trading name of SW GALLUS LIMITED, a company registered in the United Kingdom with company number 16942603. Its registered office is 1 Small Training Solutions (Sw Gallus), Riverside Court, Avenue De Clichy, Merthyr Tydfil, United Kingdom, CF47 8LW.
SW GALLUS LIMITED is responsible for personal information used to manage its own enquiries, quotations, customers, invoices and website security. When working on a client's website or records on that client's instructions, separate data-processing terms may apply.
2. Information we receive
- Enquiries: your name, business name, contact information, selected services and any details you voluntarily provide in a quote request.
- Projects: approved briefs, business assets such as logos and website copy, communications, contracts, work progress and handover information.
- Business records: quotations, invoices, accounting and related correspondence where a paid engagement is agreed.
- Technical information: network address, device/browser details, timestamps, requested pages, server logs and essential browser storage used to keep the website functioning.
- WhatsApp messages: your WhatsApp account details and the content you choose to send to us. WhatsApp is operated by a separate provider.
Do not provide passwords, one-time codes, full payment-card information, medical records or other sensitive personal information in ordinary enquiry fields or WhatsApp messages.
3. Why we use it
| Purpose | Legal basis, where applicable |
|---|---|
| Answer enquiries and prepare requested quotations | Steps requested before a contract, or legitimate interests in responding to business enquiries |
| Provide and manage agreed services | Performance of a contract, or legitimate interests for business representatives |
| Keep accounting records and meet legal duties | Legal obligations and, where relevant, legitimate interests |
| Maintain website and account security, prevent misuse and resolve disputes | Legitimate interests or applicable legal obligations |
| Optional promotional messages or non-essential tracking | Only where permitted by applicable law, with consent where required and an opt-out where applicable |
Submitting an enquiry does not automatically sign you up for marketing. A quotation request is not a completed order or payment.
4. Suppliers and who may see data
We use service providers only where relevant to the enquiry or project, including Namecheap and WordPress for website hosting and administration; Google services such as Gmail, Drive, Docs, Forms and Sheets for communication and project organisation; and WhatsApp Business when you choose to message us. For particular client projects, Shopify and Printify may also be involved where agreed.
Some page previews or externally hosted images may connect your browser to the third-party image provider. Not every provider receives every visitor's information. We share information only as reasonably required for the relevant service, legal obligation or approved client request. We do not sell customer personal data.
5. Processing outside your country
Our suppliers and project collaborators may process information in the UK, European Economic Area or other countries. Where a transfer is subject to restrictions under applicable data-protection law, we assess the appropriate legal protections. You can contact us for details relevant to your information.
6. How long we keep information
We use the following retention criteria and review records to avoid keeping information longer than necessary:
- Enquiries that do not become projects: while we are answering your request or handling reasonable follow-up, then only while a genuine business, legal or dispute-resolution reason remains.
- Client projects and communications: while services are being delivered and afterwards only as needed for handover, agreed support, accounting, legal obligations or the handling of possible claims.
- Invoices and accounting material: for the relevant statutory record-keeping period.
- Security logs and backups: according to the relevant hosting/security purpose and supplier's retention or backup-rotation procedures.
We will consider requests for deletion or correction subject to any continuing legal obligation or valid exemption.
7. Your privacy rights
Depending on the law that applies, you may have rights to access your information, correct it, request deletion, restrict or object to processing, or receive portable data; you may withdraw consent where processing depends on it. We may need reasonable identity verification before providing personal records. You can request these rights using the contact details above.
If you have a concern, contact us first so we can investigate. You may also complain to the UK Information Commissioner's Office or another competent data-protection authority where the law gives you that option.
8. Cookies and browser storage
The site's draft service basket uses local storage in your browser to remember selections before you submit or send anything. You can remove stored basket choices using the basket controls or your browser's settings. WordPress and hosting systems may use necessary session/security technologies, including cookies for authorised administrators. External providers may receive connection data if your browser loads their assets.
Optional advertising or non-essential analytics would require a separate assessment and, where legally required, a meaningful consent choice before being enabled. We will update this notice when site technologies materially change.
9. Payment and customer accounts
The current website's quotation process does not take online payment or automatically place an order. Do not share passwords or complete bank-card details through standard enquiries. Where future projects use Shopify, Printify or another agreed supplier, their applicable privacy information will also be relevant.
10. Changes to this notice
We may update this notice when our services, suppliers or legal requirements change. The latest effective date will appear at the top of this page. For questions about this notice or how we handle your information, contact info@gallusstreamlineservices.co.uk or use WhatsApp Business.
